Recording an incident
Recording an incident in Onside can be done straight from the app, or via the web portal if you're an admin of the property. When an incident is reported, it will notify the admins of the property via the app and email to investigate. Follow the steps below to start reporting.
- Tap the green + button in the bottom right of the app's home or map pages.
- Tap 'Record incident'.
Recording an incident while not checked in doesn't require you to advise the property, ideal for anything that has happened in transit. - Incident Details
On the 'Record Incident' screen, add the injury details such as;
- Type
- Injury
- Injured area
- Description
- How serious it could have been
If you select a non-injury related incident (such as near miss, safety observation, or equipment damage) the injury fields will be automatically skipped.
When entering the description of the incident, try to detail enough information so that the admins can clearly understand what has happened. - Time and place
Further down the page you will cover the time and place of the incident. You will also need to advise the area. This is so that the property admins can better understand where incidents are occurring most.
If you're reporting the incident while checked out, advising the property will be optional.
Onside Teams users will also be able to choose if you want to notify the property contact about the incident, this is in case your company needs to address it first.
To place a pin down on the map for the incident, simply tap the map and then drag the map around. - Affected person
On the last screen you'll then need to add details about the person affected. If the incident relates to you, tap the 'Apply' option to the right to fill in your details based on your account at the time.
It will even advise 'Hours at work', based on how long you've been checked in for!

Add any images you think will help with logging the incident.
Tap 'Record' when you're done to send it to the admins of the property. They'll be notified via the app as well as email.
Reporting from the Web Portal
- Click on the property that you are wanting to create an incident for, then the 'Incidents' tab, and click 'Add'.

Click 'Add' from your Incident dashboard. - Incidents are broken down into 3 sections:
- Details - Information about the what, where, when, and who of the incident.
- Management - Adding post-incident information such as assigning an owner, when the person is expected to return to work, and investigation notes.
- Action - Identifying actions that can be taken on the property to reduce the chance of this incident happening again, assigning those as tasks to staff, and connecting the incident to a specific risk on the site.
- Enter the information of the incident as required. Some fields will be mandatory to have information for, such as incident title, type of incident, and affected person's details.
- On the Management section it's good practice to include what steps you'll be taking going forward to prevent this incident again, which can also then be added into the Action section and assigned to staff to undertake.
That's all there is to it. As a property admin, you can also generate risk, visitor, and incident reports from the main screen under reporting.
